Community Cards

Steps to issue or renew a library card for a community patron

 

 

  • Give the patron a registration form, found at the counter below the print stations.
  • Tell him or her that there is a $10.00 fee, and the card is good for a year, no fee for RC * students. RC cards are good for the semester).
  • Ask to see some form of identification/ license is best; it has a signature, address and photo. RC students will need to present a current ID from their college.
  • While the patron fills out the form, look the patron up in Banner (as280.utica.edu in Firefox will give you the correct url) to make sure there isn’t already a number assigned to him or her.
  • Search Worldshare, a Name search in Assist Patrons.
  • If no matching record is found, get a new library card from the small drawer below the print stations.
  • Create a duplicate barcode on the barcode duplicator (instructions are below) and stick to a blank library card.

 

To register the patron information

  • Either choose Create New Parton option form the name search or open the Admin tab and open the New User function
    •  (Personal Information)
      • Name
    •  (Contact Information)
      • address (spell out Street, Road, Avenue, etc.)
      •  telephone (xxx xxx xxxx)
      • e-mail
    • (Privilege tab)
      • Scan the library card into the barcode field
      • Patron type
        • Choose UCALUMNI or UCCOMMUNITY from the dropdown
      • expiration date
        • a year from today for community and alumni
        • the end of the academic term for RC
      • Home Branch
        • Choose FEG library from the dropdown
  • Create
  • Collect the $10.00 fee from the patron, put the $10.00 on Betsy’s desk; with a note.
  • Give the patron his or her new Utica College library card, telling them that the card is good for one year, and it’s renewable for a $10.OO renewal fee .
  • If the patron already has a Utica College library card, and is just renewing, have him or her fill out the registration card, update the WorldShare record (Profile tab; edit the necessary fields; save). Collect the renewal fee, following the above steps for the cash.
  • If the patron is renewing an account, but has lost the original ID, look him or her up in  Assist Patron, a name search, note the library number and create a replacement label on the bar code duplicator, and stick it to the front of a blank library card. (see below for login for the machine). Collect the renewal fee, following the above steps for the cash.
  • If the person has a number in Banner, note the number, create a bar code on the bar code duplicator, and stick it to the front of a blank library card. All registration steps are the same as above.

 

 

 

If the patron is from one of the surrounding area colleges, there is no fee (they pay tuition). Ask to see their college ID, and note the college on the registration card, and in the Notes field of the Notes field on the Profile tab.

 

Students, faculty and staff are issued UC ID cards and replacement cards at student activities. However, if a student’s ID does not scan, then you will have to register the information. Enter the patron’s info into the system/ see above.

 

 

Bar Code duplicator login info.

  • Plug it in
  • Wait for it to “warm up”
  • Hit the form button (top right of key pad)
  • The form name is UTICA
  • Hit Enter (bottom right of key pad)
  • Scan the barcode being replaced
  • or
  • Type in the number, beginning and ending with an a(ex. a000001245a)
  • Hit enter twice (bottom right of the key pad)
  • The bar code will print below the keypad

 

RC * patrons are students from other colleges, please note college and term in the notes field.
