WMS Circulation Help

For circulation staff and students. Help getting started with the library catalog system, WMS, WorldShare Management Services

Important Information

Because the media-video collection is a new service and we are still fine-tuning procedures, only staff (no students) should handle all media-video transactions. 

Remind Faculty that there is no classroom delivery

  • The videos will be on the hold shelf three days prior to the class. 
  • Faculty will get an email reminder that the video are on hold for them.
  • Faculty can check out the video. The due date is set for 7 days.

Do not Desensitize/Sensitize media - it will erase the VHS tapes. 

Hand the media to the patron after they exit the gates so the alarm does not go off.

Refer Faculty to Media Center (online form, Help Desk 3115) for all equipment requests.

Requests - in person, phone, email

For all staff:

In person/by phone

  •  Fill out a Media Use Request Form. Some media have both DVD and VHS - ask if there is a preference if we have both formats (important for equipment requests)!!
  • Pull media and place with request form on the "To Process" shelf

Email and web form requests (monitored by BC, TO.  Back-up and Saturday: JS, LC)

  • Requests come to Circulation@utica.edu
  • Checked twice daily minimum
  • Print the email request.
  • Pull media and place with request form on the "To Process" shelf

Scheduling in WMS - for the Classroom

Betsy (morning), Travis (evening) Lucy (Friday, back-up for Betsy)

 

By Patron Record (including proxy)

  • Open the patron record
  • Open the holds tab
  • Choose the Schedule Items function
  • Click Create schedule
  • Search the item (title or barcode)
  • Find
  • Choose the desired item
  • Enter the dates needed: (date of reservation) and until (7 days after reservation)
  • Add class info (ex. BIO 101) to the notes
  • Click create schedule

Repeat for all additional items

  • Fill out a Hold for Classroom Use slip, leaving the professor’s name and date due fields blank
    • On the holding shelf (colored paper)
  • Attach to the item(s)
  • Return the item(s) to the media shelves

By Discover Item

  • Search Item
  • In the copies screen (click on the title to activate, if necessary), open the schedules function
  • Choose create schedule
  • Search for the patron (name or banner #)
  • Click Find
  • Select
  • Enter the dates needed: (date of reservation) and until (7 days after reservation)
  • Click the  OK box
  • Add class info (ex. BIO 101) to the notes
  • Click create schedule

Repeat for all additional items

  • Fill out a Hold for Classroom Use slip, leaving the professor’s name and date due fields blank
    • On the holding shelf (colored paper)
  • Attach to the item(s)
  • Return the item(s) to the media shelves

Pull Reports

Betsy and Travis (Lucy and Jessica - back-up)

Twice daily; Sunday through Friday, run the Pull List

Pull the items from the Media shelves

  • Check all items in   
    • WMS
    • Check in
    • Scan barcode(s)
  • Add the professor’s name to the slip
  • Put the item(s) on the holding shelf

 

Checking out videos

When the professor comes in for the item

  • check it out
  • add the date due information
  • announcing the date due
  • DO NOT DESENSITIZE
  • pass the item to the professor beyond the exit gate

If a surrogate (proxy) comes in for the item

  • scan the surrogate barcode on the surrogate’s ID (back, bottom)
  • open the proxy record
  • check it out
  • add the date due information
  • announce the date due
  • pass the item to the surrogate, beyond the exit gate
